Mandatory fields are:

  15. Immediate Supervisor

  17. Regular Salary
  18. Offered 1800 fix PF Cap
  19. One way distance(KM)
  20. Probation Period
  21. Location

WHAT IS THE PROCESS TO FILL A NEW HIRE FORM ON ATS FOR A CANDIDATE WHO JOINED THE ORGANIZATION?

Follow the steps mentioned below:

  1. Check if the newly hired employee was an ex-employee of the organization.
    1. Enter the candidate’s information like Full Name, PAN & Government Number, Email Address, and Phone number
    2. Click Search.
    3. If employee information is available in the database, then the system will mark it as a Rehired employee.
  2. Enter all or necessary information for the newly hired employee like Employment Type, Joining Date, Transportation Details, etc.
  3. Click Submit to save the New Hire form on ATS.

OR

Click Move to ERRIS to move the newly hired employee’s details to Employee Database.

OR

Click Save as Drop Out for the candidates who didn’t join the organization after the successful hiring process.

WHEN WILL THE RECRUITERS BE ABLE TO ACCESS THE NEW HIRE ACTION TAB ON ATS?

When a candidate passes all the Prehire stages – Offer Acceptance, Drug test, Background Verification, and Paper Verification – successfully, only then, the New Hire action tab will be displayed under the Action column on the Candidate List page of ATS.

CAN THE RECRUITER EDIT THE INFORMATION ON THE PREHIRE PAGE AT ANY POINT OF TIME?

The recruiter will not be able to edit the job profile details, General Information, and Offer Details on the Pre-Hire page when the Offer Status field under Offer Details is set as Offer Accepted and the form is submitted.

When the Drug Test, Background Verification, and Paper Verification outcomes/statuses are marked as passed or cleared and the form is submitted, the recruiter will not be able to edit any information on the Prehire page.

HOW TO RECORD THE DETAILS FOR CANDIDATES WHO FAILED THE PAPER VERIFICATION PROCESS?

Follow the steps mentioned below:

  1. Open the Prehire action tab.
  2. Under the Paper Verification Details section,
    1. Select the Is Paper verification completed?
    2. Provide other details.
    3. Select the Paper Verification status as Paper verification failed.
  3. Provide Comments if required.
  4. Click Submit.

The status of the candidate will be marked as Application Closed on the Candidate List page.

HOW TO RECORD THE DETAILS FOR CANDIDATES WHO PASSED THE PAPER VERIFICATION PROCESS?

Follow the steps mentioned below:

  1. Open the Prehire action tab.
  2. Under the Paper Verification Details section,
    1. Select the Is Paper verification completed?
    2. Provide other details.
    3. Select the Paper Verification status as Paper verification passed.
  3. Provide Comments if required.
  4. Click Submit.

The status of the candidate will be marked as Pre-hire in progress on the Candidate List page.

But if the Drug Test Outcome and Background Verification outcome is also marked as passed or cleared then, the status of the candidate will be marked as Hire Pending on the Candidate List page.

HOW TO RECORD THE DETAILS FOR CANDIDATES WHOSE PAPER VERIFICATION PROCESS IS IN PROGRESS?

Follow the steps mentioned below:

  1. Open the Prehire action tab.
  2. Under the Paper Verification Details section,
    1. Select the Is Paper verification completed?
    2. Provide other details.
    3. Select the Paper Verification status as Paper verification in progress.
  3. Provide Comments if required.
  4. Click Submit.

The status of the candidate will be marked as Pre-hire in progress on the Candidate List page.

HOW TO RECORD THE DETAILS FOR CANDIDATES WHO NO LONGER IS INTERESTED TO JOIN THE ORGANIZATION AFTER ACCEPTING THE OFFER?

Follow the steps mentioned below:

  1. Open the Prehire action tab.
  2. Under the Drug Test Details/ Background Verification Details section, select the Drug Test Outcome/ Background Verification outcome as Applicant didn’t appear/not interested.
  3. Provide Comments if required.
  4. Click Submit.

The status of the candidate will be marked as Application Closed on the Candidate List page.

HOW TO RECORD THE DETAILS FOR CANDIDATES WHO DIDN’T APPEAR FOR THE BACKGROUND VERIFICATION?

Follow the steps mentioned below:

  1. Open the Prehire action tab.
  2. Under the Background Verification Details section,
    1. Select the Is background verification scheduled?
    2. Select the Background Verification Outcome as Applicant not appear/not interested.
  3. Provide Comments if required.
  4. Click Submit.

The status of the candidate will be marked as Application Closed on the Candidate List page.

HOW TO RECORD THE DETAILS FOR CANDIDATES WHO FAILED THE BACKGROUND VERIFICATION?

Follow the steps mentioned below:

  1. Open the Prehire action tab.
  2. Under the Background Verification Details section,
    1. Select the Is background verification scheduled?
    2. Select the Background Verification Outcome as Background verification failed.
  3. Provide Comments if required.
  4. Click Submit.

The status of the candidate will be marked as Application Closed on the Candidate List page.
